Alma Consulting Group Canada Inc. specializes in assisting companies to obtain Scientific Research and Experimental Development (SR&ED) tax credits and to restructure their business to optimize future research and development (R&D) claims. We are one of the largest SR&ED firms in Canada. We are seeking a full-time Administrative Assistant for our office in Vaughan.

The SR&ED program has existed for over 20 years and is one of Canada’s largest tax incentive programs. Its aim is to create a supportive environment for Canadian businesses to carry out research and development (R&D).

Businesses conduct R&D activities to develop or modify existing products and/or processes to improve performance, develop intellectual property, reduce costs or create new markets.

Any individual or corporation carrying on qualifying R&D activities in Canada can participate in the program.

Key Responsibilities and Related Tasks (include but not limited to)

Reporting to the VP of Operations, the Administrative Assistant is responsible for providing administrative services in order to ensure effective and efficient operations.

  • Compile financial data and carry out data entry.
  • Verify consistency of information in system and folders.
  • Obtain and track information on filings.
  • Prepare client renewal and billing packages.
  • Review and reconcile files.
  • Add and update client information into system.
  • Prepare correspondence for clients.
  • Schedule meetings and send reminders of upcoming milestones.
  • Take minutes at meetings.
  • Perform other related duties as necessary or as assigned.

Qualifications/Skills:

Minimum 5 years experience in an administrative role, preferably in a  professional services environment.

  • Post-secondary education related to administrative support is an asset.
  • Superior attention to detail combined with a high degree of accuracy.
  • Strong organizational, coordination and administrative skills.
  • Ability to multitask, prioritize, and manage deadlines.
  • Excellent verbal and written communication skills (English); ability to communicate in French is an asset.
  • Strong interpersonal skills, customer focused and team oriented.
  • Ability to carry out job responsibilities of other administrative assistants and receptionists.
  • Ability to work independently and take initiative.
  • Proficiency in Microsoft Office (Word, Excel and Outlook).
  • Demonstrated discretion, professionalism and tact.
